An opportunity has arisen for an Assistant Office Manager to join our busy team at the beginning of September, with responsibility for the following:

- Dealing with incoming mail, email, faxes and post and, if appropriate, to correspond on behalf of the Directors
- Meeting and greeting visitors at all levels of seniority
- Arranging travel, visas and accommodation for MD
- Minute and note taking at meetings
- Providing general assistance during meetings and presentations
- Overall management of all general office supplies
- Organising some diaries and making appointments
- Liaising with clients, suppliers and staff
- Supervision of Junior Office Administrator
- Some administrative tasks as required for MD
- Managing all aspects of building, maintenance and cleaners

IT Skills:

- Typing skills at least 45 to 50 wpm (preferably touch typing)
- Excel – intermediate/advanced
- MS Outlook
- Powerpoint – intermediate to advanced

Skills & Experience:

- Experience of working within a similar position
- Excellent English language skills, both written and spoken
- Excellent organisation skills with excellent attention to detail
- Be able to work as part of a team
- Excellent communication skills, both internally and to our customers
- Able to work under pressure and prioritise work effectively

Salary & Benefits:

Salary range £18,000 to £20,000 dependent on experience, with the following:

- Personal Bonus of up to 5% of basic salary based on performance against key objectives
- 37.5 hours per week (1 hour for lunch)
- Participation in discretionary Company bonus scheme

Sales Administration Assistant

An opportunity has arisen for a Sales Administration Assistant to join our busy Sales Department.

This role involves the maintenance and communication of accurate product, supplier and customer data and working to agreed service levels, reporting to the Sales Administrator and liaising with the Sales, Customer Services, Finance, Buying, Shipping and Marketing teams.

The successful candidate will assist in all areas of sales administration work including:

- Production of monthly reports and analysis for key customers, monthly sales report templates, sales incentives, stock reports, quote builder etc. 
- Creation of bespoke reports on stock/sales/customers
- Analysis of key sales drivers such as samples reports as requested by Director of Sales
- Dealing with day-to-day requests from sales team and providing back office assistance using all Liberty Wines systems and information
- Maintenance of prospect database, recording and tracking of prospects and web enquiries, and daily maintenance of sales database
- Working alongside the sales team in creating new business presentations and using Quote Builder to produce customer proposals and analyse margins
- Booking and organisation of full and team sales meetings
- Helping the sales team at tastings, consumer events and staff training where needed

Required Skills and Experience:

- Organised and self-motivated
- Numerate and computer literate with excellent Excel skills
- Good written and verbal communication skills
- Great attention to detail
- Flexible, responsive and efficient
- A good level of wine knowledge is preferable but not essential
- Commitment to a high level of customer service

Invoicing Assistant (Fixed Term)

We are recruiting an Invoicing Assistant for a fixed term 6 month contract to start immediately. You will report directly to the Invoicing Manager and be responsible for issuing customer invoices, resolving invoice queries, and investigating and issuing credit notes. The role would ideally suit somebody with an accounts payable or accounts receivable background.

Role and Responsibilities:

Invoices
- Sending customer invoices within agreed timescales
- Checking daily sales reports for pricing and margin discrepancies, investigating these and resolving any issues
- Setting up customer special prices and discounts accurately
- Investigating and resolving invoice queries from customers and salespeople

Credit Notes
- Processing customer returns and other credit notes within agreed timescales
- Investigating errors, resolving them and identifying solutions to ensure they are not repeated
- Recording service failures accurately for management reporting
- Assisting in managing inbound queries and responding to them within agreed timescales
- Liaising with the warehouse, customer services and external suppliers to resolve problems

Communication
- Communicating clearly with customers by phone or email in order to resolve queries, explain the situation and provide exceptional service
- Effective communication with other departments and all levels within the business, to ensure we are working together for our customers‘ benefit
- Able to explain complex problems

General
- Any other reasonable tasks as required

Skills and Experience:

- Experience of working in a similar role with some financial background
- Customer focussed and a genuine willingness to help deliver great customer service
- Able to investigate complex problems and see them through to resolution
- A confident communicator whether in person, by phone, or by email
- Ability to work unsupervised, prioritising work and managing your own workload
- Enthusiastic and with a can-do attitude
- Strong IT skills – able to interrogate systems to find the information required
- Experience in a similar role or an Accounts Payable/Receivable position would be an advantage
- Ability to work under pressure

Early Morning Customer Services Assistant

An opportunity has arisen for a Customer Services Assistant to process overnight orders from our customers. 

Many of our customers take advantage of our overnight ordering service for London and our Warehouse and Customer Services teams facilitate managing, processing, and despatching those orders.  An early start of 4.00am is required to do this and there is a real pressure to ensure that all orders are processed accurately within a tight timeframe.

The Role:

Reporting directly to the Customer Services Manager, the successful candidate will be responsible for the following:

- Prioritise and process emailed and answerphone orders received after office closing hours, dealing with any issues or queries appropriately. 
- Prioritise orders and queries for the rest of the Customer Services team before working alongside them in processing and taking orders by email and phone.

Skills & Experience:

- Reliable, conscientious with the ability to take ownership of issues
- Self-motivated with a positive ‘can do‘ attitude to all tasks
- Able to work under pressure and prioritise tasks
- Willing to go the extra mile to give customers great service
- Team oriented and able to build good working relationships
- Good problem solving skills with the ability to work things out logically

Previous experience in an order processing or customer services role is essential.  Wine knowledge is not essential but a willingness to learn is.

Hours of work will be 4.00am to 12.30pm Monday to Friday.  For initial training you will need to work from 8.00am to 4.30pm.

Technical Manager

We are currently recruiting for a Technical Manager to join the team.  Reporting to the Director of National Accounts, the successful candidate will be responsible for handling all technical management on all major customers covering product specifications, supplier audits and general technical issues. 

The role will be based at our office in Clapham North but there will be travel involved.

Role (key tasks):

- Act as key technical contact for National Account customers
- Act as point of reference for suppliers on all technical requirements for different customers
- Work with producers to ensure successful results at technical audits – preparation, gap analyses, attending audits, follow up any non-conformances
- Keep up to date product specifications for all relevant listings
- Develop a comprehensive filing system to store all information related to the above
- Continual improvement and assessment of technical practices
- Develop an ongoing project of traceability from the vineyard to the glass for producers.
- Keep up to date on all legislation related to the production, labelling and import/export of wine – manage compliance for relevant products

Key requirements (skills and experience):

Must have a good understanding of the following:
- BRC / ISO / equivalent food safety
- HACCP
- Winery practices / bottling
- Winery risk assessments
- Highly organised & efficient, good communicator, numerate and computer literate
- Practical winemaking & vintage experience
- Relevant education – BSC in Oenology (or equivalent) & WSET Diploma
- Commitment to a high level of customer service
- Languages (Italian, Spanish, French) are a major advantage
- Previous experience in dealing with supermarket technical teams are also an advantage
