Events Co-ordinator

Liberty Wines is looking for a full-time Events Co-ordinator to join our events team in our London office. We are looking for individual with a proven track record for delivering successful events. As Events Co-ordinator, you would be responsible for organising a wide range of events from large trade tastings with up to 800 wines and 1000 customers, through to smaller intimate winemaker dinners for 20-40 customers and press. The ideal candidate will require a strong sense of self-initiative, meticulous attention to detail, and can successfully manage the logistics of large-scale wine events. This role reports into the Events Manager.

Key Responsibilities

  • Work alongside the Events Manager to plan from start to finish all seven of Liberty Wines’ large portfolio tastings, comprising of two annual portfolio tastings in London, and February and September roadshow portfolio tastings across the UK and Ireland, with attendee numbers between 400-1000.
  • Manage project timelines from start to finish for Liberty Wines category tastings including Burgundy, Italy and Australia tastings.
  • Work closely with the Brand Management team and liaise directly with producers to co- ordinate Liberty Wines’ presence at externally organised generic, trade and consumer events.
  • Organise the Liberty Wines’ stands at Prowein.
  • Liaise the virtual tastings and masterclasses by Zoom.
  • Event management includes, but is not limited to, the production of invitations, customer database management, manage RSVPs, tasting list preparation, data spreadsheet management for up to 800 wines, communication and liaison with producers, product ordering, event setup, tracking inventory and samples.
  • Collaboration within the team to enhance the event’s success.
  • Source and negotiate with venues, vendors and suppliers.
  • Manage and control the budget for each event.
  • Analyse the event’s success and prepare reports from data collection.

Essential Skills & Experience

  • 1-2 years event management or project management experience required, with proven ability and initiative to work effectively to deadlines in a fast-paced environment
  • Exceptional organisational skills with meticulous attention to detail
  • Ability to multitask and handle a number of projects simultaneously
  • Strong Excel proficiency and ability to manage high volumes of data and reporting (VLOOKUP, pivot tables, etc.)
  • Excellent written and verbal communication skills to suppliers, colleagues, and producers
  • Highly professional in presentation, communication, and punctuality

Desirable Skills & Experience

  • Proficiency in Microsoft Suite, MailChimp, Eventbrite, and familiar with CRM databases
  • Experience with food and beverage events, or UK Wine Trade experience
  • Good wine knowledge (WSET is an advantage)
  • Additional languages are advantageous: French/Italian/Spanish/Portuguese
